I know this should be simple, but what does vervallen mean here?

Given your remark, maybe this will do: Try to keep a positive tone.

The problems is that the person is told to make the call to the (fictitious) customer, offering solutions, and is then told 'let op.....'.

agree Ken Cox : Your second suggestion may be exactly what is intended: mention the bad news, but keep the pain short and once you've conveyed this message, concentrate on the suggestions for a 'positive' solution (or from the customer's perspective: don't rub it in)
