This expression is used to describe a group of business people who have travelled to a hotel together and are then gathering to set off to a football match. I'm presuming it's some kind of group warm-up but am looking for an upmarket expression as I am not sure exactly what is involved here only that the target audience is very select, very privileged and very exclusive.

I been warned to select my vocabulary to suit "sehr hochkarätige Gäste".
As I previously wrote it is part of an itinerary listed as:
"Sa. 12. Juli 2014 Gemeinsame Einstimmung und Transfer zum Stadion"
Get-together is also good, albeit a more relaxed way of putting it.
